Guide to the Index

of George Rogers Clark Papers

of the Virginia State Library and Archives

In 1991, Society of Colonial Wars in the State of Illinois and the Sons of the Revolution in the State of Illinois funded the microfilming of the George Rogers Clark collection of papers pertaining to the Illinois Regiment of Virginia State Forces, persons or matters relating to the Illinois Regiment.

The microfilm edition consists of 13 reels containing 16,858 frames with some 85,000 images of original documents. There was usually more than one document per microfilm frame. The documents were dated from January of 1778 through November 5, 1834. There was no consecutive numbering of the microfilm frames for the 13 reels.

The Society of Colonial Wars in the State of Illinois and the Sons of the Revolution in the State of Illinois funded the indexing of this collection. This index was completed May 18, 1995 and has 97,579 entries for 20,110 documents filmed on 13 microfilm reels. The compiler has abstracted and numbered each document for the separate 2,850 pages of the abstract, which indicates the location of the document on each microfilm frame when there is more than one document on a frame. The index does not refer to the page of the abstract or to the assigned document number.

The below index reference and its explanation will indicate how references have been made to a name or word.

        Example: Casey, Benjamin 1-20

The first number (preceding the "-") represents the microfilm reel number of the George Rogers Clark Papers. The next number refers to the first frame number for the document, which has Benjamin Casey's name. A document may contain more than one reference for a name or subject. The name of subject may appear or may not appear on the first frame of the document. More than 1 reference to a name on a frame will have the number of references enclosed in parenthesis following the reel and page number.

Spelling of surnames vary from document to document. Cross references have been given when an uniformed spelling has been used for an entry. Index entries have usually been given to each spelling of a surname.

A ? will follow a word when there is doubt if the interpretation of the handwriting represented the word used in the index. A ? is used preceding a first name, which is missing or cannot be read. Rank of soldiers and officers has been enclosed in parenthesis following the name whenever the rank can be determined.

GUIDE TO THE ABSTRACT`

The index references are references to a name or word.

Example: Casey, Benjamin, 1-20

The first number preceding the-represents the micro-film reel number of the George Rogers Clark Papers. The next number refers to the first frame number for the document, which has Benjamin Casey's name. A document may contain more than one reference for a name or subject. The name of subject may appear or may not appear on the first frame of the document. The abstracts are arranged in sequential order of a document number followed by the microfilm reel num-ber and the frame [or frame numbers]. Abstract cita-tions are coded in the following manner:

Document-Roll-Frame [Frames]

example: 2715-2-1128
Document 2715 Microfilm Roll 2
Frame 1128.

Example: 2716-2-1129-1131
Document 2716 Microfilm Roll 2
Frames 1129-1131.

Spelling of surnames vary from document to docu-ment. Index entries have been given to each spelling. It was necessary to distinguish some entries due to spelling etc. The following examples will illustrate some clarifications for the entries.

?             will follow a word when there is doubt in whether the interpretation of the
handwriting represents the word used in the index.

(?)           Parenthesis with a question mark was used when the name was not given.

()             Parenthesis with a word has been used to re-port rank of other identification
for a person or spelling of a name.

[ ]           A word enclosed with brackets has been used when the document does
not indicate the given name or ull name or identification but earlier
documents have provided details. Some other sources may be used
to provide the word enclosed in brackets.
